It could be something as simple as not bringing in their trash can or parking in an unauthorized space, says Kuester. Create a friendly yet professional letter notifying the homeowner of the problem, what rule(s) it violates, how they can resolve the issue, and by what date they need to comply. Including photographic evidence or a clear description can reduce any confusion.
Let homeowners know that the violation notice is just a reminder of the rules, not a fine or legal action. Oftentimes bringing their attention to the matter and letting them know how they can fix it is enough to resolve the problem and prevent future issues. Make sure the letter also includes directions for who to contact if they have questions or want to appeal the violation.
"It is important for the board to fairly and consistently enforce rules," says Kuester. "Everyone should be held to the same expectations and given the same rights. Creating a standard template for violation notices can help maintain a uniform process."
